Job description
The Inventory Analyst is responsible for maintaining accurate inventory records, optimizing stock levels, and ensuring seamless operations between the warehouse, Point of Sale (POS) system, and Microsoft Great Plains. This role supports strategic inventory planning, ensures compliance with HACCP, HSSE policies, and drives continuous improvement in receiving, data entry, and safety procedures.
1. Inventory System Management & Analysis
Maintain and update inventory data across MS Great Plains and POS systems within 24 hours.
Resolve end-user concerns and provide module-specific training to new users.
Ensure warehouse SKU alignment with 5S (Lean) standards and stock sheets.
Execute and manage stock counts (monthly, 10-day, and annual).
Investigate and report stock variances across revenue streams with submission by the 5th of each month.
Host stock variance meetings by the 12th monthly; circulate minutes and ensure timely closure of action items.
Ensure closing stock is accurately reflected in the General Ledger.
Maintain and submit inventory reports including reconciliations, wastage, and analysis by the 8th monthly.
Ensure all inventory SOPs are current and implemented.
2. Receiving & Goods Entry Operations
Adhere to HACCP standards during all goods receiving activities.
Develop and implement daily receiving checklists and schedules.
Coordinate with Procurement for supplier delivery timing; minimize supplier wait time.
Oversee truck inspections and manage receiving personnel.
Verify goods against POs and invoices for accuracy in quantity, quality, and pricing.
Ensure all deliveries are labeled, stored correctly, and invoices signed off.
Record Lot Numbers and Expiry Dates in MS Great Plains in real-time.
Enter landed costs for imports promptly; submit costing data to Finance within 48 hours.
Reconcile daily invoice packages with Finance.
3. Safety, Hygiene & Cleanliness Compliance
Ensure annual safety and HACCP training for staff.
Investigate and document all accidents or safety incidents.
Provide and enforce the use of safety equipment and PPE for all relevant staff.
Maintain an up-to-date emergency response plan.
Train staff in chemical handling and cleaning protocols as needed.
Report security breaches immediately to the General Manager.
4. Compliance with HSSE Policy
Promote health and safety awareness among all staff.
Submit BBS cards and participate in QHSSE recognition programs.
Conduct safety investigations and ensure proper documentation.
Ensure food safety and quality targets are reviewed and achieved.
Verify compliance with all PPE, HACCP, and food safety hygiene protocols.
Maintain emergency procedures and ensure departmental readiness.
5. General Duties
Perform any additional duties as assigned by the Head of Department or General Manager in support of operational goals.
Job requirements
Minimum Qualifications and Experience
First Degree in Supply Chain Management, Accounts or Business Management.
Minimum of five (5) years’ experience in a similar role.
Auditing or supply chain experience an asset
Proficiency in MS Great Plains and POS systems is mandatory.
Strong analytical and reporting skills; knowledge of general ledger functions.
Demonstrated knowledge of HACCP, food safety, and HSSE policies.
Experience in conducting stock counts and reconciliations.
Prior experience working in environments with imported goods or perishable stock is an asset.
High attention to detail and accuracy.
