Summary 

The Administrative Assistant of the Dispatch Department is mainly responsible for the day-to-day administrative operations, including electronic record keeping and maintenance and the execution of the commercial quotation to invoicing process for customers Dispatch is mainly responsible for the smooth functioning of the Dispatch Department, through time management, and the development, execution and maintenance of proper data entry practices.

Key Responsibilities

  • Provides clerical support and assists in the timely and accurate documentation and entry of data.

  • Prepares all periodic and adhoc administrative documents within agreed quality and delivery standards, ensuring both timeliness and accuracy.

  • Ensures the maintenance of an accurate and effective database management system, providing for easy retrieval of data and compliance with regulatory, client and corporate requirements.

  • Provides associated administrative and other support to Department Head and other staff as assigned or required, towards the attainment of departmental goals and objectives.

  • Be aware of and comply with all HSE rules and regulations inclusive of PPE, HACCP and Food Safety and Hygiene.

  • Billing and Invoicing on weekly schedules.

  • Commercial invoicing experience, including, preparation of sales orders, delivery notes, invoices, debit notes, credit notes.

Job requirements

  • At least one (1) years’ experience working in a team-oriented environment.

  • Five (5) CXC/CSEC O’Levels, inclusive of Mathematics and English.

  • Diploma in Business Administration or equivalent

  • Computer Literate

  • Intermediate Microsoft Excel skills

  • Knowledge of Microsoft GP Dynamics and/or SAP or any other similar Enterprise Resource Planning systems will be considered an asset.

  • Ability to build successful and long-term relationships.
